Appointment administration

Specialized appointment management for psychotherapy practices

Theravo supports appointment requests, bookings, and appointment-related communication. It is neither a marketplace nor an electronic health record and does not replace clinical documentation.

Contact form

Patients submit their availability and other appointment-related information. The practice reviews the request and responds.

Booking widget

Patients can request an appointment or, where enabled, book directly through your practice website.

  • Appointment requests or direct booking according to practice rules
  • Only appointment-related information requested by default
  • Central management of requests, confirmations, and changes
  • Full control over visible and bookable times
How Theravo works

Organize appointment processes in three steps

1

Manage requests and bookings

Receive appointment requests, review the details, confirm appointments, and manage all appointment-related communication in one place.

2

Define availability and booking rules

Configure appointment types, time windows, locations, confirmation rules, booking limits, and access rules.

3

Connect your practice website

Add a booking widget or contact form so appointments can be requested or booked according to your practice’s rules.

Features

Designed around the administrative needs of your practice

Online payments with Stripe

Set prices for selected appointment types and allow patients to pay as part of the booking process. If required, an appointment is confirmed only after successful payment. Cancellation and rescheduling rules are shown before the booking is completed.

Patient portal

Patients can complete bookings, review appointment details, and cancel or reschedule within the practice’s rules. This reduces unnecessary administrative email exchanges.

Booking groups and daily capacity limits

Assign patients to administrative booking groups and set daily booking limits. Access rules determine which appointment types are available to new and existing patients.

Product overview

One workspace for appointment management

By default, Theravo collects only the information required to organize an appointment. After a time is selected, practices can optionally provide an additional form for further information.

Availability and calendar

Plan availability, bookable time slots, booking limits, and confirmed appointments in one calendar.

Practice inbox

Manage appointment-related messages and requests centrally.

Appointment requests and bookings

Allow patients to submit requests or book directly according to your practice’s rules.

Administrative booking groups

Control available appointment types and daily capacity for different booking groups while keeping appointment history visible. Set different daily limits and booking permissions for selected groups without recording clinical classifications.

Online self-booking can be disabled for individual patients.

Privacy and data minimization

Privacy as a foundation of appointment management

Theravo’s core application and database are hosted in Germany. Appointment communication uses dedicated email addresses managed by Theravo; access to private practice inboxes is not required.

By default, only the information needed for appointment administration is processed.

Theravo is not an electronic health record and is not intended for therapy notes, diagnoses, or treatment documentation.

  • Core application and database hosted in Germany
  • Data Processing Agreement available
  • Patient and practice data are not sold
  • Patient and practice data are not used for advertising
  • Optional local AI support limited to administrative processes
  • Not intended for therapy, diagnosis, clinical decision-making, or crisis support
Practice website integration

A booking widget and contact form for your website

Add Theravo to your practice website through a booking widget or contact form. Patients can request or book appointments according to your rules, and subsequent administration takes place centrally in Theravo.

Integration requires only a short script. Personal setup support is included.

FAQ

Frequently asked questions

Is Theravo an electronic health record?

No. Theravo is designed for administrative appointment management. It is not intended for therapy notes, diagnoses, treatment documentation, or other clinical records.

Is Theravo a marketplace or therapist directory?

No. Theravo does not publish public practice profiles or refer patients to practices. It works with your own practice website, so the relationship with patients remains with your practice.

Why does Theravo focus on appointment management?

Many independent psychotherapy practices do not need a comprehensive practice-management or documentation system simply to organize appointments. Theravo therefore focuses on the core administrative processes: availability, appointment requests, bookings, payments, confirmations, and the patient portal.

Is Theravo developed with input from psychotherapists?

Yes. Theravo is developed using feedback from independent psychotherapists and real practice processes, with a focus on privacy, control, and clear operation.
